Help center: permanent link or video file?

Published on

A video file to replace or a permanent link that always shows the latest version: what it changes for maintaining a help center and for search visibility.

The problem with a video file

When a tutorial is an uploaded file or a video hosted at a specific address, every new version means replacing the file, then checking every place it is embedded: a help-center article, the product home page, an onboarding e-mail, an internal knowledge base.

By the second version, the address changes or the old one stays referenced somewhere. That is how customers land on a video showing a screen that no longer exists.

What a permanent link brings

A permanent link identifies the tutorial, not one particular version of the video. It always shows the latest published video, and the embed code does the same. When the tutorial is redone, there is nothing to replace in the help center: the address stays the same.

That is how Democlap works: each tutorial has a permanent address and embed code that show the latest published video, release after release.

The concrete benefits

  • One embed per help-center article, done once.
  • Links shared by support, in e-mails or in documentation, stay valid.
  • Search engines and assistants keep the same address, instead of discovering a new one with each version.
  • No old video lingers at a forgotten address.

A new video must not go live on its own

A link that updates itself needs a safeguard. With Democlap, a new video stays in review until a team member approves it, and the old one stays online until then. If a flow no longer works at a production release, nothing is published: the last good video stays online and the step at fault is flagged.

When a file is still fine

For a video that is dated by nature, such as a webinar recording or a release announcement, a file is the right format: it should stay as it is. The permanent link is for product tutorials, which must always reflect the current version.

Your tutorials no longer go stale

On every production release, Democlap rebuilds your tutorials from your demo environment. If a flow no longer works, nothing is published: the last good video stays online and you see the step to fix.
